Start earlier than feels necessary

Holiday event dates compress quickly. Venues, sommeliers, catering, delivery windows, and internal approval cycles all tighten in November and December.

If the event is client-facing or over 60 guests, early scoping prevents expensive last-minute compromises.

Pick the format before the bottles

A seated tasting, sparkling reception, and multi-station holiday party require different staffing and room plans.

Choose the service model first. The wine flight should support the format, not the other way around.

Keep approvals moving

Finance may need pricing, W-9, deposit terms, and invoice details. Legal or the venue may need insurance and alcohol-service assumptions.

Put those items in the intake so the proposal can address them upfront.
